Machine Warranty Claims, Service Review & RMA Process

The warranty for the exact machine and configuration is the warranty stated in its written sales documents.

Warranty coverage can differ by machine, component, condition, supplier, manufacturer, project and commercial package. The signed quotation or sales agreement, final invoice, machine identification, component warranty schedule, installation and acceptance records and written exclusions control the actual coverage.

This page explains the claim process. It does not create a universal warranty term, expand coverage or replace the controlling written agreement.

What the written warranty should identify

  • Warranty issuer and the exact eligible machine, model, serial number or configuration.
  • Effective version, coverage start event and duration.
  • Covered components and component-specific terms.
  • Available remedy: diagnosis, repair, replacement, exchange, credit or another stated remedy.
  • Responsibility for labor, remote support, travel, freight, shipping, customs and on-site work.
  • Consumables, wear items and other excluded or limited-life components.
  • Required maintenance, records, operating conditions and claim timing.
  • Geographic limits, RMA process, inspection rights and document precedence.

Equipment with different coverage

Used, demo, refurbished, replacement, customer-modified, relocated or third-party equipment can have limited, supplier-provided, as-is or no warranty coverage. The exact condition and warranty status should appear in the applicable written quotation and invoice.

Common exclusions unless the written warranty says otherwise

  • Normal wear, consumables, optics, nozzles, protective windows, filters, fluids, tooling and other maintenance items.
  • Incorrect, unstable or incompatible electrical power; missing grounding; surge, phase loss or improper conversion equipment.
  • Contaminated or insufficient compressed air, process gas, cooling water, ventilation or extraction.
  • Collision, crash, misuse, overloading, improper material or operation outside the approved application.
  • Fire, water, freezing, corrosion, environmental contamination or facility damage.
  • Unauthorized wiring, parameter, software, firmware or mechanical changes.
  • Bypassed interlocks, removed guarding or operation contrary to the manual or safety requirements.
  • Improper maintenance, unapproved parts, relocation, rigging, transport or storage damage.
  • Third-party repair or disassembly performed without required written authorization.

How to open a warranty or service claim

  1. Protect people and equipment. Stop operation when continued use could create danger or additional damage.
  2. Identify the machine. Provide model, serial number, invoice, delivery or installation date and current location.
  3. Describe the issue. Exact alarm, symptom, when it began, recent changes and production impact.
  4. Provide evidence. Nameplate photos, controller screens, video, logs, maintenance records and relevant manual pages.
  5. Preserve the failed condition. Do not erase alarms, discard parts or make undocumented changes.
  6. Follow authorized diagnostics. Testing must remain within qualified personnel, machine documentation and safe operating boundaries.
  7. Wait for written direction. Do not ship a component or authorize outside repair when warranty review is requested unless written instructions are provided.

RMA and returned components

A return requires written authorization. The instructions may identify the approved part and serial number, return address, packaging, insurance, shipping responsibility, required documentation, inspection process, core return and disposition. Unauthorized or improperly packaged returns may be refused or may lose eligibility for review.

What happens after submission

  • The machine and sales documents are matched to the claim.
  • Coverage and exclusions are reviewed for the exact component and event.
  • Additional evidence or safe diagnostic steps may be requested.
  • A service, parts, RMA or non-warranty quotation path is identified.
  • Any approved remedy and customer responsibilities are confirmed in writing.

Important service boundary

Opening a request does not confirm warranty eligibility, a response time, free labor, free travel, free freight or immediate parts availability. Those items are determined from the controlling documents, evidence and current service capacity.
